"How much does it cost?" is the first question in almost every brief we receive. The honest answer is that it depends, but not on just anything: a handful of variables explain most of the budget. If you control them, you control the cost. This guide does not give supplier prices, because they change with every date and every negotiation. It explains how the budget for a convention in Barcelona is built, which budget lines weigh the most and how to request proposals you can compare.
What does the cost of a convention in Barcelona depend on?
These are the factors that move the budget the most, in order of impact in our experience:
- Dates. The same convention costs a different amount in MWC week than three weeks later. Major trade fairs and the peak leisure season push up hotel rates and tighten terms. See the 2027 trade fair calendar.
- Number of nights. Accommodation is multiplied per person per night, as are the tourist tax and much of the food and beverage.
- Hotel category and location. A 5-star on the seafront and a 4-star city hotel have very different price structures.
- Type of venue. Meeting in the hotel itself with a day package does not cost the same as hiring a convention centre or a unique venue that has to be set up from scratch.
- Level of production. Stage, screens, lighting, set design, simultaneous interpreting and streaming can range from the room's basic equipment to a full production.
- Social programme. Dinners outside the hotel, activities and parties add transport, venue, catering and production.
- Lead time. With more time there are more options and better negotiation. With little time you pay for what is left.
Budget lines and what drives them
This table sums up the usual budget lines. The relative weight is indicative and comes from our experience with conventions of 100 to 500 people with accommodation: every event is different.
| Budget line | What it includes | Usual relative weight | What pushes it up | What brings it down |
|---|---|---|---|---|
| Accommodation | Rooms per night, breakfast | High | Trade fair weeks, seafront 5-star, single rooms | Off-peak dates, well-located 4-star, double rooms |
| Venue and rooms | Plenary, breakout rooms, exhibition space, set-ups | High | Convention centre or unique venue, long set-ups and breakdowns | DDR package at the hotel, reused rooms |
| Food and beverage | Coffee breaks, lunches, dinners, receptions, drinks | High | Dinners outside the hotel, long open bar, bespoke menus | Buffet or standing lunches, set menus |
| AV production | Sound, screens, lighting, technicians, video direction | Medium-high | Large stages, LED, streaming, several rooms at once | The room's own equipment, a single plenary |
| Set design and branding | Stage, decoration, signage, photocall | Medium | Bespoke builds, set-ups in empty spaces | Venues with a good aesthetic base, reusable pieces |
| Transport | Airport transfers, coaches, local transport | Medium | Staggered arrivals, dinners far from the hotel, trade fair weeks | Grouped arrivals, everything within walking distance |
| Social programme | Activities, tours, team building, gala dinner | Medium | Unique venues, shows, private hire | Activities at the hotel itself or on foot |
| Staff | Coordinators, hosts, interpreters, security | Low-medium | Several venues, many languages, long days | Programme concentrated in one venue |
| Communication and technology | Registration website, app, badges | Low | Bespoke development | Standard platforms |
| Insurance and permits | Public liability, cancellation, licences | Low | Risk activities, events on public roads | Programme in licensed venues |
| Taxes | VAT, tourist tax | Variable | More nights, higher category | Not negotiable: budget for it properly |
| Agency management | Fees or management margin | Variable | More complexity, more suppliers | Simple programme, quick decisions |
| Contingency | Reserve for the unexpected | Recommended | Distant dates, open programme | Fixed programme, confirmed numbers |

Hotel package (DDR) or standalone venue?
This is the decision that changes the structure of the budget the most.
The DDR (day delegate rate) is a rate per attendee per day offered by most convention hotels and many venues. It usually includes the plenary room, basic equipment, coffee breaks and lunch. Its advantage is predictability: you multiply the rate by attendees and days. Its risk is the small print.
| Question about the DDR | Why it matters |
|---|---|
| Which rooms are included and for how many hours? | Breakout rooms or set-up the day before may be extra |
| What AV is included? | Projector and microphone, yes; LED screens, technicians and video direction, almost never |
| How many coffee breaks and of what kind? | An extra break or an upgrade changes the figure |
| Is lunch a buffet, seated or standing? | It affects timings, space and cost |
| Is there a minimum number of attendees or rooms? | Many DDRs require a minimum room occupancy |
| What happens if attendance drops? | Check the reduction clause and the cut-off date |
A standalone venue (a convention centre or a unique venue) is budgeted as space hire plus services. It gives more creative freedom and more capacity, but adds set-up, breakdown, production, external catering and transport from the hotel.
| DDR package at a hotel | Standalone venue | |
|---|---|---|
| Cost predictability | High | Medium |
| Design freedom | Limited to the hotel's space | High |
| Production needed | Low or medium | Medium or high |
| Transport | Almost none | Must be added |
| Capacity | Up to the hotel's largest ballroom | From hundreds to thousands of people |
| When it fits | Working meetings, kick-offs, conventions of 50 to 800 people | Conventions with staging, more than 800 people, launches |
In Barcelona, the largest ballroom at the major convention hotels holds around 1,000 people or slightly more, as you will see in our comparison of convention hotels. Above that figure, the natural option is a convention centre.
Seasonality: when costs go up and down
The calendar explains a good part of the differences between quotes. Barcelona has major trade fairs in February (ISE), March (MWC), April (Seafood Expo Global), June and November (Smart City Expo and IBTM World), as well as medical congresses at the CCIB and Gran Via, according to the Fira de Barcelona calendar. In those weeks hotels prioritise trade fair attendees and group rates rise.
The windows that usually offer better terms are the weeks in January without major fairs, the second half of February, late November and some summer weeks. September and October are very popular for conventions and incentives: they have good weather and high demand. We analyse this in detail in the best time for events in Barcelona.
Taxes: VAT and tourist tax
Taxes are not negotiable, but a poorly structured budget can be wrong by thousands of euros.
| Item | Rate or amount | Notes |
|---|---|---|
| Standard VAT | 21% | Room hire, production, AV, private-hire transport, agency management under the general scheme |
| Reduced hospitality VAT | 10% | Accommodation, restaurants and the supply of food and drink |
| Special scheme for travel agencies | On the agency's margin | Applies to agencies acting in their own name and using third-party services for the trip. The agency may apply the general scheme transaction by transaction |
| Tourist tax in the city of Barcelona | €12 per person per night at 5-star, €8.40 at 4-star | From 1 April 2026, maximum seven nights, those aged 16 or under exempt |

Three practical tips:
- Ask for quotes with VAT broken down by rate. If one proposal applies the special travel agency scheme and another the general scheme, the totals including VAT may not be comparable at first glance.
- If your company is based abroad, check the VAT refund for non-established businesses with your advisers: EU companies apply through their own country and companies from non-EU countries with reciprocity use form 361.
- Calculate the tourist tax from the actual rooming list, not from the programme. You will find examples in our tourist tax guide for groups.

If a supplier gives you only a price per person, ask them to break it down using this template. It is the only way to know whether it is cheaper or simply includes less.
Example: sizing a convention for 200 people
Before asking for prices, translate the programme into units. This is an example for 200 attendees, 3 nights and 2 meeting days at a 5-star hotel in the city of Barcelona:
| Budget line | Unit calculation | Units |
|---|---|---|
| Room nights (singles) | 200 people × 3 nights | 600 nights |
| Tourist tax | 200 × 3 × €12 (rate in force since April 2026) | €7,200 |
| Meeting package (DDR) | 200 attendees × 2 days | 400 DDRs |
| Breakout rooms | 4 rooms × 2 days | 8 room-days |
| Welcome dinner and gala dinner | 200 × 2 | 400 covers |
| Airport transfers | Based on grouped arrival times | Services to be defined |
| On-site coordination | 4 people × 4 days | 16 working days |
With these units, each supplier adds its unit price and the proposals become comparable. The tourist tax is the only figure we can give you now, because it is public.
What makes a convention more expensive
- Dates in a major trade fair week or in peak season.
- Changes of date or venue after signing.
- Programmes with many venues and transfers.
- Productions built from scratch in empty spaces.
- Set-ups that need the space the day before.
- Late decisions: fewer options and less room to negotiate.
- Unstable attendee numbers that force you to pay for unused rooms or covers.
- Long staff hours, with overtime.
What makes a convention cheaper without losing quality
- Flexible dates chosen with the trade fair calendar in front of you.
- Keeping the meeting and accommodation in the same hotel or within walking distance.
- Reusing the plenary room for lunch or the drinks reception with a change of set-up.
- Choosing venues that already have a good aesthetic base and need less decoration.
- Fixing the number of attendees early and negotiating a reasonable reduction clause.
- Putting production where it shows: the plenary and the gala dinner.
- Booking 6 to 12 months ahead, and 12 to 18 if it coincides with a trade fair.
Payment schedule and contract clauses
For a convention with accommodation, the payment schedule usually follows that of the main suppliers: a deposit when the hotel and venue contracts are signed, interim payments as services are confirmed, and a final settlement after the event based on actual numbers. Always check:
- Cut-off dates for reducing rooms and covers without penalty.
- The cancellation scale by date.
- What happens if taxes change before the event.
- Currency and exchange rate, if you invoice outside the eurozone.
