Barcelona runs to the rhythm of Fira de Barcelona and the CCIB. When a big trade fair arrives, hotels fill up, rates rise and unique venues are booked a year ahead. If you are planning a convention, an incentive or a client dinner in 2027, the first step is to check your dates against this calendar. We keep it up to date with official sources and use it every day to plan our clients' events.

Three points worth keeping in mind:
- Smart City Expo World Congress: Fira lists it from 2 to 4 November 2027. Some third-party websites show it running until the 5th. If your event falls that week, confirm with the organisers.
- ESC Congress 2027, the major European cardiology congress, is not coming to Barcelona: it takes place in Milan from 27 to 30 August, according to the European Society of Cardiology.
- Alimentaria does not appear in the Fira calendar for 2027. Nor is there a Formula 1 Grand Prix at Montmeló in 2027: the circuit will alternate with Spa and return in 2028.
Other congresses are announced at shorter notice, especially corporate and association meetings that do not publish their venue until the contract is signed. The CCIB and Fira calendars grow during the year, so we review this table every quarter.
Which weeks in 2027 have the most hotel pressure?
Not every trade fair carries the same weight. What moves the market is the number of international visitors staying overnight in the city. Seafood Expo Global, for example, brought together more than 35,500 professionals and 2,290 exhibiting companies at its 2026 edition, according to the organiser. Because of their size, MWC and ISE are the two weeks when we find it hardest to secure availability every year.
This is our reading for 2027, based on the size of each event and on what we see every year when booking room blocks for groups:
| Week | What overlaps | Hotel pressure | What we recommend |
|---|---|---|---|
| 1-5 Feb | ISE and EdTech Congress | Very high | Avoid unless you are connected to the fair. If you are, book now. |
| 28 Feb-4 Mar | MWC, 4YFN and Talent Arena | Highest of the year | Same as ISE. Rates and cancellation terms get tougher. |
| 15-20 Mar | KubeCon and AD/PD | High | Get quotes early and ask for options in two parts of the city. |
| 6-10 Apr | In-cosmetics, EPNS and Automobile | High | Check unique venue availability: they are in heavy demand for exhibitor dinners. |
| 19-22 Apr | Seafood Expo Global and Reuters Pharma | Very high | Avoid for internal conventions. |
| 1-5 Jun | Shoptalk and Primavera Sound | High, especially around the Fòrum | If you use hotels near the CCIB, check the festival week. |
| 9-19 Jun | SIL, EHA and Sónar | High | June is peak season anyway: book 9-12 months ahead. |
| 25-28 Sep | ECNP | High around the Fòrum and Diagonal Mar | September is a sought-after month for conventions: book early. |
| 1-8 Oct | LOUPE, EFINTEC and EUROSPINE | Medium-high | A good alternative to September if you commit early. |
| 1-4 Nov | Smart City Expo and Cybersecurity Congress | Very high | Avoid unless you are connected to the fair. |
| 15-18 Nov | IBTM World and Piscina | High | MICE industry week: suppliers and venues are very busy. |
The pressure is not limited to Gran Via. Trade fair visitors stay all over the city, from Diagonal Mar to Plaça d'Espanya and the airport. During MWC and ISE it is also hard to find coaches, hosts and hostesses, AV technicians and restaurants available for private hire.
Month by month
January. The year opens with ICE (18-20) at Gran Via. The second half of the month is good for start-of-year meetings and kick-offs: there is availability and prices are more contained. We cover this in sales conventions and kick-offs.
February. ISE takes up the first week. From the 8th the market eases, apart from Barcelona Wine Week at Montjuïc (8-10). The second half of the month is a good window for conventions.
March. MWC from 1 to 4 March affects the whole previous week because of the build-up. Then come KubeCon and AD/PD (15-20). The last week of March 2027 coincides with Easter (Palm Sunday on the 21st and Easter Sunday on 28 March): there is availability for companies, but less for domestic Spanish groups.
April. A busy month: In-cosmetics, Automobile, Seafood Expo Global and several medical congresses. If you are not tied to any fair, look at the last week.
May. Hispack, Graphispag, Construmat and Vitafoods at Gran Via. It is a good month for incentives thanks to the weather and the light, but sea-view hotels fill up early.
June. The busiest month of the first half of the year: Shoptalk, Primavera Sound, SIL, EHA, Sónar, CineEurope and ESMO GI. It is also peak leisure season. Plan a year ahead if you want a beach hotel.
July and August. Few trade fairs. July is still peak leisure season and in August many Spanish companies shut down. For events with international clients, the first half of July works well.
September. Corporate activity returns in force. ECNP (25-28) fills the Fòrum area. It is one of the favourite months for conventions and incentives, so demand is high even without major fairs.
October. LOUPE, EFINTEC, EUROSPINE, Caravaning, Routes World and ECTMIH. Good weather and a lot going on: book in good time.
November. Smart City Expo (2-4) and IBTM World (16-18). The last week of the month is a good window for gala dinners and year-end conventions.
December. No major trade fairs. The first two weeks are dominated by company dinners and celebrations, so restaurants and unique venues are in high demand. For Christmas parties, our sister website Be Events Barcelona is the specialist.

Avoid the trade fair or make the most of it?
There are two strategies and both are valid. It depends on who your audience is.
Avoiding the fair makes sense when you are organising an internal convention, an incentive or a leadership meeting with no connection to the fair's sector. You gain availability, better contract terms and a less crowded city.
Making the most of the fair makes sense when your clients, distributors or partners are already travelling to Barcelona for it. A private dinner, a partner meeting or a brand party a few minutes from the venue builds on a trip that is already paid for. We have done this many times: parties and partner meetings for Yealink, Microsoft and Logitech during ISE, a party at the Letgo office during MWC, Meliá's welcome for IBTM Hosted Buyers at the Meliá Barcelona Sky and Provital events during In-cosmetics. You can see examples in our case studies and our trade show hospitality and congress events service.
If you choose to make the most of the fair, bear in mind that:
- Your guests are busy on the stand until 18:00 or 19:00. The event starts late and must be close to the venue or have transport sorted.
- You will be competing with other brands for the same evenings. In our experience, the middle nights of the fair are the most contested.
- Unique venues near Gran Via and Montjuïc are booked from one edition to the next.
- Advance communication matters: send invitations 6 to 8 weeks ahead to get into your clients' diaries.
For MWC specifically we have a dedicated guide: events during MWC Barcelona.
Booking timeline for an event in 2027
This is the timeline we follow for a convention or satellite event of 100 to 500 people. In major trade fair weeks, bring each step forward by three to six months.
| Before the event | What to do |
|---|---|
| 18-12 months | Check dates against this calendar. Set two or three date options. Request availability from the hotel and main venue. |
| 12-9 months | Sign the hotel contract (room block) and the venue contract. Review cancellation and room reduction (attrition) clauses. |
| 9-6 months | Book venues for dinners and activities, transport and technical suppliers. Design the programme. |
| 6-3 months | Open registration. Finalise content, speakers and AV production. |
| 3-1 months | Rooming list, transfers, running order and contingency plan. Adjust numbers with the hotel in line with the contract cut-off dates. |
| Final week | Final confirmations, staff briefing and rehearsals. |
Checklist if your event coincides with a major trade fair
- Confirm the exact build-up and breakdown dates of the fair, not just the opening days.
- Ask the hotel for its specific cancellation and room reduction policy for those dates.
- Book transfers and coaches early: the fleet sells out.
- Allow more travel time: access to Gran Via and metro line L9 Sud gets congested at peak times.
- Secure technical suppliers and multilingual staff with signed contracts.
- If it is a client event, send the invitation before they close their trade fair diary.
- Check whether your event needs municipal permits (public space, noise, hours) and apply in good time.
- Calculate the tourist tax for every night the group stays.
Where to accommodate and meet your group during trade fair weeks
During trade fair weeks, location matters more than ever. If your event is linked to Gran Via, the hotels around Plaça d'Europa and Fira Barcelona Gran Via itself cut down on transfers. If your group has nothing to do with the fair, moving away from the venue helps: the Diagonal Mar area and the CCIB are at the other end of the city, except when there is a congress at the CCIB itself.
To choose a hotel or venue, see our comparisons of convention hotels and convention centres, and our selection of convention hotels.
How we keep this calendar up to date
We check the dates on the official websites of Fira de Barcelona, the CCIB and each organiser. We mark as confirmed what the official source publishes and as pending what only appears on third-party websites. Dates can change: if your budget depends on a specific week, confirm them before you sign.
Would you like us to check your dates? Tell us what event you have in mind and we will send you a proposal within 24 business hours via our contact page. We have more than 20 years' experience organising conventions, congresses and incentives in Barcelona.
