What type of meeting are you organising?
Most company meetings in Barcelona are small or medium-sized. According to the Catalunya Convention Bureau, almost eight in ten meetings held in the city in 2025 had fewer than 250 attendees. For these formats, what makes the difference is not the size of the venue but whether the room, the AV and the pace fit what you need to achieve.
| Format | Typical size | Where it works best | What to watch |
|---|---|---|---|
| Board meeting | 8 to 20 people | Private hotel room or a discreet venue | Confidentiality, boardroom table, video conferencing |
| Leadership retreat | 10 to 40 people | Masia, hotel with garden or a venue outside the city | Alternate sessions with walks, meals and conversation |
| Workshop or creative session | 15 to 80 people | Unique venue with natural light | Walls to work on, movable tables, materials |
| Seminar or training | 20 to 150 people | Hotel or meeting centre | Classroom set-up, good acoustics, breaks on time |
| Company away day | 50 to 300 people | Hotel with several rooms or a venue with a plenary space | Plenary plus breakout rooms and lunch for everyone |
| Partner or client meeting | 30 to 200 people | Room near their hotel or the exhibition centre | Quick registration, networking, short sessions |
How do we handle a meeting?
- You tell us the format. Number of people, dates, duration, set-up and whether anyone needs accommodation.
- Proposal within 24 business hours. Two or three rooms with real availability, compared in a table showing what each one includes.
- Site visit and booking. If you like, we visit the rooms with you. We agree terms and send you a clear summary.
- Preparation. Set-up, AV, catering, accommodation, transfers, badges and materials.
- Meeting day. A member of our team is in the room from an hour before the start until the close.
- Afterwards. A single itemised invoice and, if you ask, an attendee survey.
The day delegate rate (DDR)
Many hotels and meeting centres in Barcelona offer a fixed package per attendee per day, known as the DDR (day delegate rate). It simplifies the budget a great deal, but not all packages are equal. Before comparing, check:
- Which AV is included. Sometimes only a projector and screen; microphones, video conferencing or a technician are charged separately.
- How many breaks and of what type. Two coffee breaks is standard. If the day is long, you may need a third.
- Lunch. A buffet, a served menu or a standing lunch change how much time you need in the agenda.
- The minimum number of attendees. Many packages only apply above a certain number of people.
- Breakout rooms. They are not always included in the price.
- Cancellation and attrition. How much room you have to reduce numbers without penalty.
If the meeting is in a unique venue, there is usually no DDR: you hire the space and contract AV, furniture and catering separately. We compare everything in the same format so the decision is easy.
Room set-ups: which to choose
| Set-up | What it is for | Watch out for |
|---|---|---|
| Theatre | Presentations and talks to the whole group | Taking notes is uncomfortable |
| Classroom | Training sessions and long seminars | Takes up much more space than theatre |
| U-shape | Groups of up to 30 people in discussion | Greatly reduces room capacity |
| Boardroom | Board and leadership meetings | Works poorly with projection for large groups |
| Cabaret | Workshops and group work | Part of the audience sits side-on to the stage |
The capacity a room advertises is almost always for theatre style. For classroom or cabaret, expect considerably fewer.
Meeting rooms in Barcelona
In our meeting rooms section you will find venues with verified capacities. Some ideas by type of meeting:
- For meetings with accommodation, hotels with a convention centre, such as the Gran Meliá Torre Melina or Hotel Arts.
- For meetings by the port, the World Trade Center Barcelona, with rooms of different sizes.
- For a change of scene without leaving the city, unique venues such as Torre Bellesguard, where we organised a Trend Micro workshop overlooking the whole of Barcelona, or Hotel Miramar on Montjuïc.
- For technical or scientific conferences, institutional auditoriums. In 2023 we produced the Gurobi Live conference at IMO Grupo Miranza, with auditorium, session rooms and catering.
If you are looking for a venue with more character, see our guide to unique venues by capacity.
Board meetings and leadership meetings
The smallest meetings tend to be the most sensitive. For a board or an executive committee we take particular care over discretion: a private room with no other guests passing through, a small and consistent staff, a neutral name on the hotel signage and control of printed documents. It also helps to handle everything around the meeting, from the airport pick-up to a quiet dinner in a private room, so attendees can spend their time on what matters.
What we usually advise
- Confirm there is natural light. Over an eight-hour day, a windowless room weighs on people.
- Test the connection before the day. If there is video conferencing, run a real test with the remote team.
- Put the breaks where the group needs them, not where the hotel puts them by default.
- Close the day with something. A drink on a terrace or a simple dinner turns a meeting into a team gathering.
- If it coincides with a trade show, book now. During MWC the rooms near Fira sell out. We explain it in events during MWC.
