Corporate event formats at a glance
Before thinking about venues, it pays to choose the right format. This table summarises the ones we organise, what each is for and where to find the detail.
| Format | Main objective | Typical length | More information |
|---|---|---|---|
| Congress | Sharing knowledge within a sector or discipline | 2 to 4 days | Congress organisation |
| Convention or kick-off | Aligning and motivating a team or sales network | 1 to 3 days | Company conventions |
| Incentive trip | Rewarding and building loyalty among teams, dealers or clients | 2 to 5 days | Incentive travel |
| Meeting, seminar or workshop | Working, deciding or training | Half a day to 2 days | Meetings and seminars |
| Gala dinner or anniversary | Recognising, celebrating, thanking | One evening | Gala dinners |
| Product launch | Presenting something new to press, clients or the sales network | A few hours to a day | Product launches |
| Trade show event | Making the most of clients and press being in town | An afternoon or an evening | Trade show events |
| Programme for international groups | Handling everything a group needs in the destination | 2 to 7 days | DMC Barcelona |
| Experiential convention | Getting the team to live the convention, not just listen to it | 1 to 3 days | [re] Conventions |
Many projects combine several formats. A congress includes a gala dinner; a sales conference ends with an incentive day; a trade show exhibitor holds a partner meeting in the morning and a client dinner in the evening.
How do you choose the right format?
Five questions help you decide. We ask them in our first conversation with every client.
- What needs to happen after the event? If the answer is "sell more", we are talking about a convention or an incentive. If it is "get noticed", a launch or a trade show event. If it is "make decisions", a meeting.
- Who is attending? An internal team, clients, dealers, press or a professional association each call for different tones, venues and budgets.
- How many people, and where are they coming from? Numbers define the type of venue. Origin defines whether you need a hotel, transfers and a multi-day programme.
- How much time do they have? One intensive day or three days with a hotel changes the format completely.
- What is the budget? Better to know early. The same figure can deliver a very good event or a mediocre one, depending on where it is invested.
Why Barcelona works for corporate events
According to Turisme de Barcelona, 1,395 corporate meetings were held in the city in 2025, 70% of all meetings activity. There are practical reasons behind that:
- Accessibility. An airport with direct flights to the main markets and high-speed rail to Madrid and France.
- Range of venues. Convention centres, hotels with ballrooms for more than a thousand people, museums, modernista buildings and masias less than an hour away.
- Everything close by. Hotel, meeting room and dinner can be a few minutes apart, which cuts transfers and dead time.
- The destination as a draw. For many attendees, travelling to Barcelona is already a reason to register or to push harder to win the incentive.
You will find all the destination data on MICE Barcelona.
Why a specialist agency in Barcelona
A corporate event involves dozens of decisions and suppliers. A general agency can coordinate them; an agency that works in the same city every week also knows what can go wrong in each venue. That difference shows at three moments:
- When proposing. We show you options that genuinely exist for your dates, not a catalogue.
- When negotiating. We know the usual terms of hotels and venues, and what is reasonable to ask for.
- During the event. When something changes, it is solved by someone who is there and knows who to call.
Common mistakes when organising a corporate event
After many years producing events in the city, we see the same mistakes repeated. Almost all of them can be avoided with time and a good question at the outset:
- Choosing the venue before the objective. A spectacular venue will not fix an event without a clear purpose. First the what and the who; then the where.
- Setting dates without checking the city's calendar. Clashing with MWC, ISE or a major congress can multiply hotel prices. Check the trade show calendar.
- Underestimating transfers. In Barcelona, a coach from Montjuïc to the Fòrum at rush hour can take far longer than planned. Timings are calculated using real traffic.
- Overfilling the programme. Attendees value the content as much as the moments to talk to one another.
- Forgetting hidden costs: overtime on build, catering exclusivities, the tourist tax or the security staff some venues require.
- Having no plan B. Every outdoor activity needs an alternative booked from the start, not improvised the night before.
How we work
- Brief. Objective, audience, dates, attendee numbers and budget.
- Proposal within 24 business hours with venues, format and an itemised estimate.
- Site visits and contracting of venues, hotels and suppliers.
- Production with running order, floor plan, rehearsals and logistics.
- The event with our own team on site.
- Close with final accounts, survey and report.
Real case studies
Some projects we have produced in Barcelona: the WSEI congress for Establishment Labs, Noatum's 60th anniversary at MNAC, Edenred's E-Day at Hotel Miramar, the Reverse Tech incentive at Mas Solà and the Logitech event at Llotja de Mar during ISE. You will find them all in our case studies.
What we do not do here
Company parties, Christmas dinners and team building activities are organised by our sister brand Be Events Barcelona. If your event is one of those, we explain more on team building.
Do you have an event in mind? Tell us about it and we will send you a first proposal within 24 business hours.
