Why organise an event during a trade show?
During a major trade show, your clients, dealers and the trade press are all in the same city at the same time. It is the chance to bring them together away from the noise of the stand, with time to talk and in an atmosphere the stand cannot offer. For many brands, the dinner or party during show week generates more sales conversations than four days in the hall.
The challenge is that every brand thinks the same way. During a trade show week, Barcelona is competing for the same venues, restaurants, coaches, technicians and waiting staff. Whoever books late chooses from what is left. That is why it pays to request a proposal as soon as the dates of the next edition are known and, ideally, to secure the venue before the current show ends, while you can still choose calmly among the best options.

What we have done during trade show weeks
- Logitech during ISE. In 2022, the first edition of ISE in Barcelona, we organised Come Together at Llotja de Mar with Logitech and Microsoft, for more than 250 guests. In 2024, a partner meeting at Porta Fira. In 2025 we returned to Llotja de Mar with show cooking, cocktails and a stage.
- Yealink and Microsoft during ISE. A VIP event for international clients and partners with Spanish food and live flamenco.
- Microsoft and Logitech, ISE Show. Technology, entertainment and networking in a unique venue (see case study).
- Provital during In-Cosmetics Global. A networking event at MNAC for clients and industry peers.
- Meliá during IBTM World. The welcome for Hosted Buyers in the Sky Room at Meliá Barcelona Sky, with a concept inspired by The Great Gatsby.
- Becerril, Coca & Becerril at INTA. A night at Castell de Montjuïc with a medieval theme and live music.
Which format suits your objective?
Not every exhibitor needs a big party. The format depends on who you want to talk to and what conversation you want to have.
| Objective | Format | Typical size | When to schedule it |
|---|---|---|---|
| Close deals with key clients | Private dinner in a private room or restaurant | 10 to 40 guests | Second or third night of the show |
| Strengthen channel relationships | Partner meeting followed by drinks | 30 to 200 guests | First day, before diaries fill up |
| Raise your profile in the industry | Brand party or reception | 150 to 600 guests | The central night of the show |
| Look after executives from headquarters | VIP programme with dinner and an activity | 5 to 20 guests | Around their travel schedule |
| Brief the sales team | Breakfast or working session | 20 to 80 people | Before the exhibition centre opens |
A good combination for mid-sized exhibitors is a partner meeting on the first day and a dinner with the most important clients on the second or third night, when you already know who has visited the stand and who is worth continuing the conversation with. Large exhibitors often add a brand party mid-show, with invitations also handed out from the stand.
How do we handle a trade show event?
- We pick the night. We review your show schedule and your guests' to choose the evening with the least competition.
- Proposal within 24 business hours with venues available on that date, a concept and an estimate.
- Immediate booking. During show week, availability changes from one day to the next. We secure the venue as soon as you give the go-ahead.
- Invitations and RSVPs. We help with sending, managing responses and reminders.
- Production. Set-up, AV, catering, entertainment, staffing and transfers from the show.
- The night. Our team at the venue and coordinators at the show exit and on the coaches.
Logistics tips for trade show weeks
- Hotel first. During MWC and ISE weeks hotel rates rise sharply and availability drops. If your team does not yet have rooms, that is the priority.
- The transfer decides attendance. Leaving Fira Gran Via at closing time is slow. Dedicated coaches departing from a fixed point with a coordinator make the difference.
- Close, but not too close. Montjuïc is a short ride from the exhibition centre and offers venues that do not feel like a trade show. The old town works for smaller dinners.
- Allow for drop-outs. During show week there are always guests who do not make it. Adjust capacity and catering with a margin.
- Include the tourist tax in the team's budget. We explain it in our tourist tax guide for groups.
If your company is exhibiting at or sponsoring a trade show in Barcelona, write to us with the date. The sooner you do, the more venues will still be free.
