Why hold a congress in Barcelona?
Barcelona has ranked for decades among the cities that host the most international association meetings. In the 2025 ICCA ranking it was third in the world, and that same year the city hosted 597 association congresses and meetings according to Turisme de Barcelona. Behind those figures are practical reasons: an airport with direct flights to the main markets, venues for any size, more than 40,000 hotel rooms in the city and a supplier network used to working in several languages.
What happens outside the session room matters to delegates too. In Barcelona you can dine in a museum, walk to the sea between sessions or close the congress in a modernista building. That social programme is often what lifts attendance at the next edition. If you want the full destination data, we have gathered it on MICE Barcelona.
What exactly does a congress organiser do?
A congress has two heads: the scientific or organising committee, which decides the content, and the team that makes everything happen. We are that second team. In practice, that means:
- Planning the full timeline from venue selection to final reconciliation, with milestones and owners.
- Negotiating with the venue and hotels: rooms, build-up times, catering exclusivities, room allocations and release dates.
- Managing registration and submissions: forms, fees, discounts, certificates and abstract submission and review if the congress accepts them.
- Coordinating speakers: travel, accommodation, presentations, rehearsals and support in the room.
- Producing the congress: AV, signage, badges, interpretation, streaming, catering and staffing.
- Designing the social programme: welcome reception, official dinner and complementary activities.
- Controlling the budget and presenting the final accounts to the committee.
We explain the difference between a PCO, a DMC and an event agency in detail in this guide.
How do we run a congress?
Every congress is different, but the method repeats because it works.
- Brief and feasibility. We review estimated attendance, possible dates, scientific format and budget. We check which weeks to avoid because trade shows such as MWC or ISE push hotel rates up, using our trade show calendar.
- Proposal within 24 business hours. We send you two or three venue options with availability, an outline budget and the work schedule.
- Site visits and contracting. We accompany the committee on site inspections, negotiate terms and review venue and hotel contracts.
- Production. We open registration, coordinate suppliers and speakers, and prepare the layout of every room and the running order of every session.
- The congress. Our team is on site from build-up to the last breakdown, with one lead per area and constant contact with the committee.
- Close. Final accounts, attendance report and surveys, and a lessons learned meeting for the next edition.
Congress venues in Barcelona
The venue is the decision that shapes everything else. These are the main groups of options:
| Type of venue | Size range | Examples |
|---|---|---|
| Convention centres | From 500 to more than 10,000 people | CCIB, Fira Gran Via |
| Congress palaces | From 300 to 2,000 people | Palau de Congressos de Catalunya, Palau de Congressos de Barcelona |
| Hotels with a convention centre | From 100 to 1,500 people | Torre Melina Gran Meliá, Hotel Arts |
| Unique venues | Scientific meetings and social programme | Llotja de Mar, Recinte Modernista de Sant Pau |
Our convention centres section lists the verified capacities of each venue, and convention hotels covers the options with rooms and meeting space in the same building.
A real example: the WSEI congress
In October 2024 we produced the international WSEI congress in Barcelona for Establishment Labs. The scientific sessions took place at Clínica Planas, the welcome reception at Llotja de Mar and the gala dinner at the Drassanes Reials. Three venues, one team and a single coordinated running order for all three days. You can see how we did it in the full case study.
What we usually advise committees
- Book housing at the same time as the venue. In Barcelona the hotel is usually the bottleneck, not the room.
- Check the venue's exclusivities before signing. Catering, AV or build may be reserved for specific suppliers.
- Factor the tourist tax into the delegate budget. It has been higher since April 2026. We explain it in our tourist tax guide for groups.
- Design the social programme as seriously as the scientific one. It is what delegates remember and talk about.
- Have a plan B for every outdoor activity and every transfer.
If your congress is at bid stage or already has dates, tell us about the project and we will send you a first proposal within 24 business hours.
