How to organise a sales conference or kick-off in Barcelona

A sales conference or kick-off in Barcelona works when it starts from a clear commercial objective and turns it into a 1 to 3-day agenda with a plenary, breakouts, awards and a team moment. Here you will find sample agendas, criteria for choosing a hotel or venue, how to produce the content and frameworks for measuring the return.

How to organise a sales conference or kick-off in Barcelona

A sales conference or kick-off is the meeting at which a company aligns its sales team with the objectives for the year or half-year: what to sell, to whom, with what arguments and with what reward for those who achieve it. In Barcelona it is one of the most common formats. According to Turisme de Barcelona, in 2025 the city hosted 1,395 corporate meetings (conventions and incentives) with 282,468 delegates, and 92.4% of them were held in hotels. This guide explains how we approach it when we organise company conventions in Barcelona.

Start with the objective, not the venue

Before talking about hotels, we write three sentences with the client:

  1. What the team needs to know when they leave (strategy, product, pricing, territories).
  2. What they need to do differently from Monday (a specific sales behaviour).
  3. What they need to feel (recognition, belonging, confidence in the plan).

Those three sentences decide almost everything else: duration, the weight of the plenary versus the breakouts, the type of awards, the team activity and even the type of venue.

Main objective Best-fitting format Weight in the agenda
Communicate the year's strategy Plenary with leadership and client case studies Heavy plenary, breakouts by region
Launch a product to the sales force Demos, group training, tests Breakouts and hands-on workshops
Recognise results Awards gala with team stories Main night and winners' videos
Integrate teams after a merger or reorganisation Mixed activities, team activity Mixed breakouts and networking
Motivate after a difficult year External speaker, experiential format Short plenary and an emotional moment

Sample agendas

These templates are a starting point. We adjust them to the time zone of the home country, the flights and the company culture.

One-day kick-off

Time Block Format
08:30 Registration and welcome coffee Product showcase area
09:15 Opening: the year on one slide Plenary, CEO or sales director
10:00 Strategy and objectives by segment Plenary with live Q&A
11:00 Break
11:30 Client case study or external speaker Plenary
12:15 Breakouts by region or product line Parallel rooms
13:30 Lunch Buffet or standing lunch to mix teams
14:45 Hands-on workshops: sales pitch, objections, tools Small rotating groups
16:30 Break
17:00 Breakout takeaways Plenary, one spokesperson per group
17:45 Close and commitments Plenary
20:30 Awards dinner Gala dinner at a unique venue or hotel

Two-day conference

Day 1 Day 2
Morning Arrivals, transfers and registration. Welcome lunch Product plenary and demos. Breakouts by segment
Afternoon Strategy plenary. Breakouts by region. Team activity Hands-on workshops. Takeaways and commitments. Close
Evening Informal team dinner or drinks with a view Departures or free evening

At a two-day conference, the awards gala works best on the first night: on the second day the team works with the energy of the recognition, and those with early flights miss nothing.

Three-day conference with incentive

Day 1 Day 2 Day 3
Morning Arrivals and transfers Strategy and product plenary Incentive activity in the city or outside
Afternoon Welcome, registration, light activity Breakouts and workshops Free afternoon or guided tour
Evening Welcome drinks Awards gala Farewell dinner

If the third day is clearly a reward, we design the event as an incentive trip for the top sellers and as a conference for the rest of the team.

Plenary and breakouts: how to balance them

  • No block longer than 90 minutes without a break or change of format.
  • Plenary for what everyone needs to hear at the same time: strategy, objectives and recognition. Everything else in groups.
  • Breakouts with a deliverable. Each group leaves with something specific: an account plan, a sales pitch, three actions. Otherwise the breakout becomes just a smaller talk.
  • Live Q&A with an audience engagement tool and a moderator who filters and groups questions.
  • Rooms close to the plenary so changeovers do not eat up 15 minutes of corridor time.

Awards: the moment people remember most

  • Clear, measurable categories, communicated before the conference.
  • Stories, not just names. A short video of each winner, filmed with their team or client, is worth more than a list.
  • Pace. Group the awards into two or three blocks between courses; never all in a row.
  • Production. Walk-on music, stage lighting, a photographer by the stage and trophies ready in the exact order.

For Edenred's E-Day at the Hotel Miramar we produced the on-stage recognition ceremony, with on-screen content and a common dress code that gave the group a sense of unity (see case study).

Team activities

The team activity is there to reinforce the message, not to fill the agenda. It works best when it is connected to the conference objective: competing in teams if the year calls for ambition, cooperating if the year calls for integration.

Team building as a format in its own right is covered by our sister brand Be Events Barcelona in its team building guide for Barcelona. At ECB we integrate it into the conference programme, with logistics, timings and transfers taken care of. One example is Edenred's convention in Sitges, which combined meetings, team activities, dinner and dancing at the same hotel (see case study).

Where to hold your kick-off in Barcelona

Hotels with a convention centre

These are the most efficient option for the content part: plenary, breakout rooms, meals and accommodation in the same building.

Venue Area Published data Suits
Hotel Arts Barcelona Vila Olímpica 34 rooms; Gran Saló Gaudí for 1,410 theatre style and 1,040 for a banquet Large conferences with the gala on site
Torre Melina, a Gran Meliá Hotel Les Corts 2,758 m² of meeting space; 22 rooms; 840 m² Marenostrum ballroom Conferences of several hundred with gardens
Palau de Congressos de Catalunya Les Corts Auditorium for more than 2,000 people, next to a hotel Very large plenaries
W Barcelona Barceloneta Waterfront hotel with function rooms and terraces Conferences with a strong brand and image element
Hilton Diagonal Mar Diagonal Mar Hotel next to the CCIB Conferences with accommodation close to the convention centre

You will find more options in convention hotels and in our guide to the best convention hotels in Barcelona.

Convention centres

For kick-offs of more than a thousand people, the CCIB (3,084-seat auditorium and 46 rooms) or Fira Barcelona Montjuïc allow you to stage the plenary, product showcase and meals on a large scale. We compare the options in Barcelona convention centres.

Unique venues for the evening

The awards dinner is the best moment for a change of scene. By banquet capacity: the Saló de Contractacions at Llotja de Mar seats 430 people and the Sala Oval at MNAC 1,200. More options in unique venues.

Outside the city

For teams who want to switch off, the coast and inland areas less than an hour away offer hotels with function rooms and outdoor spaces. We have done this in Sitges with Edenred and with Duscholux (see case study), and at the Kave Home factory in Tordera for its 40th anniversary, with a plenary for the entire workforce among the warehouse shelving (see case study).

Content production

A sales conference is won or lost on its content. This is how we work on it:

  1. Central message and theme decided at the outset, with a visual identity applied to the stage, screens, signage and materials.
  2. Speaker map: who speaks, for how long and with what objective. We cut before rehearsing, not during.
  3. A common presentation template and a deadline for submitting materials, with a format review.
  4. Coaching for internal speakers: a rehearsal with a stage manager, timings and a confidence monitor.
  5. Videos and client case studies filmed in advance.
  6. A host or MC who sets the pace and links the blocks, especially at conferences of more than 200 people.
  7. Streaming or a hybrid event if part of the team cannot travel. For Edenred's Edvolution convention we built a studio set and handled direction and broadcast for the entire workforce (see case study).
  8. A full technical rehearsal the day before, with all presentations loaded.

Attendee logistics

A sales team that arrives tired or lost does not listen. Logistics are part of the content too.

  • A single registration with travel details, allergies, T-shirt size if there is merchandise and activity preferences.
  • Grouped flights when the company buys the tickets, to reduce the number of transfers.
  • Airport transfers with a meet and greet and identifiable staff. On days with staggered arrivals, shuttles at regular intervals instead of one coach per flight.
  • Rooming list with room-mates where rooms are shared, and early arrival for speakers and leadership.
  • An event app or website with the agenda, rooms, map and notifications, which avoids printing and allows last-minute changes.
  • A welcome kit in the room or at registration, with the conference identity.
  • A guest services team at the hotel throughout the conference, with a single incident phone number.

Common mistakes at a sales conference

  • Too many internal speakers with long, similar presentations. Better fewer voices and more real cases.
  • Unprepared breakouts, which end up as improvised talks.
  • Awards announced on the day without known criteria: they create more doubts than motivation.
  • An agenda without real breaks, which wears the team out before dinner.
  • Measuring only satisfaction. A good survey score does not guarantee that anything changes on Monday.

How do you measure the ROI of a kick-off?

There is no single formula, but there are recognised frameworks for structuring measurement.

The Kirkpatrick Model, with four levels:

  1. Reaction: whether the audience finds the experience favourable, engaging and relevant.
  2. Learning: whether they acquire the intended knowledge and skills.
  3. Behaviour: whether they apply the key behaviours in their job.
  4. Results: whether the targeted organisational outcomes occur.

The Phillips ROI Methodology, which adds a fifth level to the calculation: return on investment, expressed as the programme's net benefits divided by its costs.

How we apply it at a sales conference:

Level What to measure How and when
Reaction Rating of sessions, speakers and logistics In-app survey at the end of each day
Learning Understanding of objectives, product and sales pitch Short test before and after the conference
Behaviour Use of the new sales pitch, sales activity Follow-up with managers at 30 and 90 days
Results Sales indicators linked to the objective Comparison with the previous period, with the sales team
Return Attributable profit against total cost Only when the client can isolate the effect of the conference

The key is to set the indicators before the conference, not after. If you are preparing the budget, our guide how much does a convention in Barcelona cost will help.

Timeline

Frequently asked questions

How long should a sales kick-off last?

For national teams, one full day with a dinner is usually enough. With international teams who travel, two days and two nights is the norm to make the journey worthwhile. Three days makes sense if there is product training, certification or an integrated incentive.

What is the best time of year for a kick-off in Barcelona?

January and February are the classic months to launch the sales year, and September for the second half. In 2027 avoid ISE week (2 to 5 February) and MWC week (1 to 4 March), when the city's hotels are in maximum demand.

Hotel or unique venue for a sales conference?

For the content part, a hotel with a convention centre makes things much simpler: plenary, breakouts, meals and accommodation in the same building. We keep the unique venue for the awards dinner or the team moment, where a change of scene really adds something.

How do you measure the return on a sales conference?

With a tiered framework, such as the Kirkpatrick Model (reaction, learning, behaviour and results) or the Phillips ROI Methodology, which adds a fifth level of financial return. In practice: a survey at the end, a test on key messages, tracking of sales behaviours and comparison of sales indicators.

What share of the agenda should be plenary?

There is no universal figure. As a practical reference, we try to keep the plenary to no more than half of the content time and make sure no block runs longer than 90 minutes without a break or change of format. Breakouts by region or product are where the sales team does the real work.

What is [re] Conventions Experience?

It is our own turnkey experiential convention format: spectacular locations, turnkey set-ups, post-conference dinners and activities, and networking, designed so that the convention is also an experience the team remembers.
