Plenary in a Barcelona auditorium: speaker on stage in front of a large screen and a full room

1-day convention in Barcelona

For teams meeting in the city without a hotel night, or arriving in the morning and leaving the next day. One day is enough for a leadership plenary, team breakouts, a lunch where people mix and a close with an activity or dinner. This is the sample programme we use as our starting point.

Why it works

  • Plenary, breakouts, meals and closing activity on one site, with no transfers in between
  • Agenda from 08:15 to midnight, with the option to finish at 18:45
  • Breakouts by region or product in parallel rooms
  • Awards on stage before the closing activity
  • Scalable: from a hotel meeting room to the Palau de Congressos auditorium

Suggested agenda

A starting programme. We adapt it to your group, dates and budget.

Day 1

Plenary, breakouts, lunch and close

A full day that alternates the leadership message, teamwork and a celebratory finish.

  1. Plenary

    Technical rehearsal with speakers

Microphone, slide and video checks with each speaker on stage. The stage manager runs through the show flow with the host and the technical crew.

    Technical rehearsal with speakers
  2. Arrival

    Registration and welcome coffee

Registration desks by surname or QR code, badge collection and coffee in the foyer. If coaches are arriving from offices or the airport, we stagger arrivals every 15 minutes.

    Registration and welcome coffee
  3. Plenary

    Convention opening

Opening video, host and welcome from the CEO. Within half an hour the team needs to know why it is here and what the day is for.

  4. Plenary

Results and strategy for the year

The managing director and sales director present figures, priorities and targets by segment. Live questions from phones through a voting tool.

  5. Break

    Coffee break

Thirty minutes of coffee, fruit and savoury bites in the foyer, or on the terrace if the weather allows. It is the first chance for open conversation.

    Coffee break
  6. Keynote

    Guest speaker or client case

An outside voice that connects with the year's message: a client talking about a project, an industry expert or an athlete. Forty minutes including questions.

    Guest speaker or client case
  7. Workshop

Breakouts by region or product line

Parallel rooms of 30 to 80 people, each with a facilitator and a concrete deliverable: a territory plan, product messaging or a key account review.

Breakouts by region or product line
  8. Lunch

    Lunch in the gardens

Buffet or long standing lunch with high tables so departments mix. For an international group we bring it forward to 12:45 and shorten the breakouts.

    Lunch in the gardens
  9. Plenary

    Afternoon session: product and clients

A product launch or product news in a livelier format for after lunch: on-stage interviews, a short panel and demos.

    Afternoon session: product and clients
  10. Workshop

    Mixed team workshops

A second round of work in mixed groups to solve a real challenge for the year. Each group prepares a two-minute takeaway for the final plenary.

    Mixed team workshops
  11. Break

    Break

Twenty minutes with coffee, soft drinks and something sweet. We use it to switch the stage to the awards set-up.

  12. Plenary

    Takeaways and awards

The groups share their conclusions, leadership wraps up the message and the year's awards are presented with a video for each winner.

    Takeaways and awards
  13. Activity

    Team activity in the gardens

An hour of team challenge, guided tasting or outdoor cooking workshop. If the convention has no dinner, we close here with a farewell drinks reception.

  14. Free time

    Free time

Time to change, make calls or have a drink. Those not staying for dinner leave on the coaches back to the office or the stations.

  15. Lunch

    Pre-dinner drinks reception

A glass of cava and canapés on the hotel's 17th-floor terrace or in the gardens. If dinner is at a unique venue, the reception is held there after a transfer of about 20 minutes.

  16. Dinner

    Closing dinner

Seated dinner with mixed tables and a short performance between courses: live music, a mentalist or a comedy act tailored to the company.

    Closing dinner
  17. Party

    Music and drinks

DJ or band for an hour and a half, with the bar open for a timeframe agreed in advance.

    Music and drinks
  18. Transfer

    Return coaches

Staggered departures to the office, the stations and the hotels of attendees staying in the city.

Proposed venue

Torre Melina, a Gran Meliá Hotel and Palau de Congressos de Catalunya

The hotel and the Palau de Congressos de Catalunya share a site on the Diagonal, with direct access between the two. The plenary can take place in the hotel's Marenostrum room or in the Palau's auditorium, the breakouts in the smaller rooms, and lunch and the closing activity in the gardens, without putting the group on a coach all day.

Variations and extras

Daytime only, no dinner
We finish at 18:45 with a farewell drinks reception after the activity. It works well for local teams going home the same day.
Dinner at a unique venue
Poble Espanyol, the MNAC or the Llotja de Mar give the evening a setting of its own. It adds a coach transfer and a separate set-up.
Hybrid format
We stream the plenary to the teams who are not travelling, with a studio, a host and live questions from any country.
Arrival the evening before
For those coming from far away, a hotel night before the convention and an informal welcome dinner. It is the first step towards the two-day programme.

A one-day convention in Barcelona brings your team together from morning to night at a single venue: a leadership plenary, breakouts by region or product, lunch, workshops, awards and a close with an activity or dinner. We organise the venue, the programme, the technical production and the transfers so nobody wastes time between sessions.

Who is a one-day convention for?

It is the most efficient format when most of the team works in Barcelona or arrives by train or plane that same morning. It suits start-of-year kick-offs, mid-year sales conferences, all-staff annual meetings and internal strategy presentations.

It is also the logical option when the budget needs to go into content rather than accommodation. With no hotel nights, spend is shared between venue, technical production, catering and the closing night.

What does not fit well into one day is intensive product training, certifications or an international group that needs to recover from the journey. In those cases we recommend the 2-day programme.

Why Torre Melina and the Palau de Congressos de Catalunya?

We propose this site on the Diagonal because it solves the main problem of a one-day convention: losing time moving the group around. Gran Meliá Torre Melina has 22 rooms and 2,758 m² of meeting space, with the Marenostrum room for up to 850 people. From its spaces there is direct access to the Palau de Congressos de Catalunya, with an auditorium of more than 2,000 seats and 39 rooms. All around are some 25,000 m² of gardens for lunch, the activity and the drinks reception.

We know the venue well: we produced the Meliá Members Fest there, a five-day programme with a stage, themed dinners and entertainment in the gardens.

It is not the only option. For groups of up to 240 people theatre style, the Hotel Miramar on Montjuïc offers function rooms and terraces overlooking the port. That is where we organised Edenred's E-Day: welcome, sessions, awards and celebration in a single venue and in a single day. If you want the sea, Hotel Arts or the World Trade Center Barcelona are solid alternatives.

How does the programme scale from 100 to 800 people?

The agenda above is an indicative sample programme: we adjust it to your message, your timings and the size of your group. This is what changes most with attendee numbers:

Attendees Plenary Breakouts Lunch Close
80 to 200 Hotel function room, theatre style 3 or 4 small rooms High tables in the gardens Activity and dinner on the terrace or at a small unique venue
200 to 500 Marenostrum room 5 to 8 rooms, some in the Palau Buffet with several stations Dinner in the gardens or at Poble Espanyol
500 to 800 Marenostrum room or Palau auditorium Palau rooms Long standing lunch with zones Dinner with stage and entertainment

With more than 300 people, registration needs more desks, lunch moves to a food-station format and the evening needs a stage with its own show flow and rehearsal.

Logistics and transfers

The site is on the Diagonal, in the Les Corts district, about 25 minutes by coach from the airport and next to Palau Reial metro station. For teams coming from the office, we arrange coaches with fixed departure times; for those arriving by train or plane, pick-ups at Sants and the airport based on arrival manifests.

If dinner is held at another venue, the transfer takes about 20 minutes, on coaches that wait for the group until the end of the night. On the way back, staggered routes to offices, stations and hotels.

How to close the day: activity or dinner

The close is what the team talks about when they get back. You have two options:

  • Activity and drinks. A team challenge, a tasting or a cooking workshop in the gardens, followed by a farewell drinks reception before 19:00. This is the option for local teams.
  • Closing dinner. At the hotel itself or at a unique venue such as Poble Espanyol, with a seated dinner, entertainment and music. For format ideas, see gala dinners.

Team activities as a format in their own right are run by our sister brand Be Events; here we build them into the programme with timings and transfers already worked out. If you want to go further, [re] Conventions Experience is our turnkey experiential convention format.

What changes with the season

A one-day convention works all year round. January and September are peak kick-off months. From May to October lunch and the activity can be held outdoors; in winter we move them inside and keep the garden for the drinks reception if it is not raining. Avoid the ISE and MWC weeks, when the city's hotels are at peak demand: check the trade fair calendar.

Budget: what it depends on

We do not publish prices because every convention is different, but the cost lines are always the same:

  • Venue: room hire per day or day delegate package per person, and build-up hours.
  • Technical production: stage size, screens, live streaming and interpreting.
  • Catering: number of breaks, type of lunch and dinner menu.
  • Closing night: venue, entertainment, music and bar hours.
  • Transfers: number of coaches and routes.
  • People and content: host, external speakers, videos and graphic design.

We explain this in more detail in our guides on how much a convention in Barcelona costs and on sales conferences and kick-offs.

If you are planning a one-day convention, tell us about your project and within 24 business hours we will send you a proposal with venue, agenda and an itemised estimate.

Frequently asked questions

Can a full convention really fit into a single day?

Yes, if the content is prioritised. One day allows about five hours of useful content across plenary and workshops, two breaks, lunch and a closing session. If you need product training or certifications, move to two days.

How far ahead should we start?

For a small group in a hotel, 6 to 8 weeks can be enough. With more than 300 people, a large auditorium or dinner at a unique venue, allow 4 to 6 months, especially if your dates clash with a major trade show in the city.

What do we do with attendees coming from outside Barcelona?

If they arrive by train or plane in the morning, we start at 09:30 instead of 09:15 and run coaches from Sants station and the airport. If there are many of them, a hotel night the evening before or on the night of the dinner makes sense.

Hotel or congress centre for a single day?

Up to about 800 people, a hotel with a convention centre covers everything under one roof. Above that, or if you want an exhibition area, an auditorium such as the one at the Palau de Congressos de Catalunya. With Torre Melina you have both options on the same site.

Can we hold the convention at our offices or factory?

Yes, and sometimes it is the best setting. We did it for Kave Home's 40th anniversary, with the plenary among the shelving of its factory in Tordera. It requires planning with operations, security and access, and hiring in all the technical equipment.
