Variations and extras

Welcome dinner at the hotel
If the group arrives tired or the budget is tight, dinner is held in the Gran Saló Gaudí or on a hotel terrace, saving the transfer.
A different city experience
A skippered sailing regatta from the port, a Modernista route along Passeig de Gràcia or a private visit to La Pedrera for small groups.
Arrival the evening before
For teams from other continents, an extra night with an informal dinner means everyone starts day one rested.
Groups of up to 240 people
The Hotel Miramar on Montjuïc brings together function rooms, gardens and terraces overlooking the port. That is where we organised Edenred's E-Day.
One more night
With two nights there is room for an awards gala and a team activity. That is the 3-day programme.

A two-day, one-night convention in Barcelona is the format that best balances content and experience when the team is travelling. Day one is devoted to the leadership message and ends with a welcome dinner; day two to workshops, awards and some time in the city before heading home. We take care of the hotel, the dinner, the production and every transfer.

When does a two-day convention make sense?

When a large part of the group arrives by plane or train, a single day means early starts, rushing and leaving before dinner. With a hotel night, the convention has room to breathe: there is time for the plenary, for work in small groups and for teams from different offices to really get to know each other.

It is the usual format for kick-offs with teams from several Spanish cities, distributor meetings and European conventions with short-haul flights. This is an indicative sample programme: we adapt it to your flight times, your content and the size of your group.

Why Hotel Arts and the Llotja de Mar?

Hotel Arts Barcelona brings together everything a residential convention needs: 483 guest rooms, 20 meeting rooms and the 1,343 m² Gran Saló Gaudí, for up to 1,410 people theatre style. All the programme content takes place in the same building, and the group wakes up facing the sea.

For the evening we suggest leaving the hotel. The Llotja de Mar, the old trading exchange on Pla de Palau, has a Gothic Saló de Contractacions for up to 430 people at a banquet and an arcaded courtyard for the drinks reception. We know it well: we held the welcome dinner of the WSEI congress for Establishment Labs there, as well as several Logitech events during ISE and the Greentech dinner.

If you prefer another part of the city, W Barcelona or Hilton Diagonal Mar do the same job with a different character. You will find a comparison in our guide to the best convention hotels.

How does the programme scale from 60 to 400 people?

Attendees Hotel Welcome dinner City experience
60 to 120 Boutique or mid-sized convention hotel The Llotja's Saló Daurat or a small unique venue 3 to 6 guided subgroups
120 to 250 Hotel Arts, W or Hilton Diagonal Mar The Llotja's Saló de Contractacions 6 to 13 subgroups, staggered departures
250 to 400 Hotel Arts on a full block, or two nearby hotels Saló de Contractacions at full capacity Different routes by neighbourhood or alternative activities

From around 250 people the challenge is not the meeting room but the bedrooms. We block the hotel at the same time as we book the Llotja, because in high season rooms are the first thing to sell out.

Logistics and transfers

The hotel is about 30 minutes by coach from the airport and about 20 from Sants station, depending on traffic. We cross-check the flight and train manifest with your company's travel agency and arrange pick-ups in time slots, with our staff at the exit.

Between the hotel and the Llotja de Mar it is about 15 minutes by coach. The return runs in two rounds so that anyone wanting an early night does not have to wait. On day two, luggage stays in storage and the departure coaches stop at the hotel on their way to the airport.

Day two: work and the city

Day two is usually the most productive. The group already knows each other from dinner and mixed workshops work better. We wrap up the content before lunch with the awards, so the last image of the convention is a celebration, not a presentation.

Then, Barcelona. In Ciutat Vella guided tours are limited to 20 people per group, so we work with several official guides, audio guides and routes that do not cross. If your group prefers something more active, we suggest a skippered regatta; if it is smaller, a private visit to La Pedrera, like the one we organised for Dataforce by TransPerfect.

What changes with the season

Spring and autumn are the most comfortable seasons: mild temperatures, open terraces and long evenings. In summer we move the city experience to early morning or swap it for an activity on the water. In winter, the Llotja drinks reception moves from the courtyard indoors. Check the trade fair calendar before fixing dates: during ISE and MWC hotel availability drops and rates rise.

Budget: what it depends on

The cost lines of a two-day convention are:

  • Accommodation: hotel category, room type and tourist tax per person per night (tourist tax guide).
  • Rooms and day delegate package: plenary, breakouts and build-up hours.
  • Technical production: stage, screens, interpreting and streaming.
  • Welcome dinner: venue hire, catering, styling, music and transfers.
  • City experience: guides, audio guides and restaurant.
  • Arrival and departure transfers: number of time slots and vehicles.

We go into this in how much a convention in Barcelona costs. If you are after a shorter format, see the 1-day programme; if you want a gala and a team activity, the 3-day programme. And if you would rather be by the beach outside the city, the convention in Sitges.

Tell us about your convention and within 24 business hours we will send you a proposal with hotel, dinner, agenda and an itemised estimate.

Frequently asked questions

Why two days and one night rather than a single day?

When the team is travelling, a single day leaves little margin: people arrive tired and leave in a rush. With one night, day one is for the message and the dinner, and day two for working and seeing the city at an easier pace.

What time should the group arrive?

Ideally everyone is at the hotel before 11:00. With flights landing later, we move the opening to lunchtime and shift the guest speaker to day two.

How many people fit in the dinner at the Llotja de Mar?

The Saló de Contractacions takes up to 430 people for a banquet and 640 for a standing reception. For smaller groups, the Saló Daurat works for up to 120 at dinner.

Can a large group visit the Gothic Quarter?

Yes, in subgroups. In Ciutat Vella, guided tours are limited to 20 people per group and loudspeakers are not allowed. We arrange several official guides with audio guides and staggered departures.

What happens if it rains on day two?

The city experience always has an indoor plan B: a museum visit or a food workshop. We decide the evening before based on the forecast.
