A convention of four days or more in Barcelona combines the content of a convention with the experience of an incentive trip: plenary and breakouts on the first two days, an excursion that rewards the team, an awards gala and a final morning at sea. We design the full programme, produce it and look after the group from arrival to departure.
When does a convention of four days or more make sense?
When the group comes from far away, four days make the journey worthwhile. A team that crosses an ocean for a two-day convention goes home tired, feeling it has seen nothing. With four, there is time to work, to discover the destination and for the company to say thank you for the year.
It is also the format for conventions with a built-in incentive: sales staff who have hit their targets, the distributor network or the best-performing partners. We explain this in more detail on incentive travel. Like all our programmes, this is an indicative sample programme that we adapt to your group, your flights and your budget.
Why W Barcelona and the Drassanes Reials?
W Barcelona changes the tone of the trip from the moment of arrival: a hotel surrounded by sea at the far end of Barceloneta. It has 473 guest rooms, 21 event spaces and a 968 m² Great Room for up to 750 people theatre style. The plenary, breakouts, lunches and drinks receptions all take place at the hotel, and the sailing activity on the last day sets off a few minutes away.
We propose the gala at the Drassanes Reials, the Gothic royal shipyards that now house the Museu Marítim. Its Sala Gran, of around 1,700 m², takes up to 920 people depending on the layout. We held the farewell dinner of the WSEI congress for Establishment Labs there, which brought together surgeons from many countries over three days in Barcelona.
If you prefer another base, Hotel Arts or Gran Meliá Torre Melina work just as well. At Torre Melina we produced the Meliá Members Fest, a five-day programme with themed dinners, golf at El Prat and entertainment, a good example of how a city hotel can support a long incentive.
The incentive day: Montserrat and the Penedès
Montserrat is one of Catalonia's most recognisable sights and pairs well with the Penedès in a single day. The rack railway leaves Monistrol every 20 minutes, covers 5 kilometres and climbs more than 600 metres in about 15 minutes; the station has a free car park with 900 spaces for cars and coaches. We know the area: we organised Edenred's convention at Món Sant Benet, close to Montserrat.
In the afternoon, the Penedès. Sant Sadurní d'Anoia, the capital of cava, has more than 80 wineries, so you can choose between large houses with underground cellars and family-run estates. If you would prefer a base outside the city for the whole programme, see the convention in Montserrat.
How does the programme scale from 80 to 400 people?
| Attendees |
Day 2 dinner |
Excursion |
Gala |
| 80 to 150 |
3 to 6 restaurants |
Two coaches, one winery |
Drassanes, Llotja de Mar or a private dinner at La Pedrera |
| 150 to 300 |
6 to 12 restaurants |
Several coaches on staggered departures, two wineries |
Sala Gran at the Drassanes |
| 300 to 400 |
Dinner at the hotel or a unique venue instead of a dine-around |
Reserved rack railway slots and several wineries |

For small, high-level groups we propose more exclusive experiences, such as the private dinner at La Pedrera we organised for Dataforce by TransPerfect or the dinner with projection mapping at the Torre de Collserola for Esteve.
Logistics and transfers
The hotel is about 30 minutes by coach from the airport. On a long programme logistics weigh more: flight manifests, rooming, activity preferences, dietary requirements, luggage and an assistance phone line available throughout the trip. We centralise it all in a single registration platform and our own team on the ground.
On excursion day, the coach carries water and snacks, and the driver has no other job booked for the afternoon. For the gala, coaches run in rounds both ways. If the programme extends to the Costa Brava, luggage travels in a separate vehicle and arrives before the group.
What changes with the season
April, May, June, September and October are the best months: sailable seas, comfortable temperatures on Montserrat and, at the end of summer, the grape harvest in the Penedès. In July and August we move the excursion and the regatta to early morning. In winter we swap the regatta for a food activity and keep Montserrat. There is more detail in our guide to the best time for events in Barcelona.
Budget: what it depends on
- Accommodation: three nights or more, hotel category and tourist tax per person per night.
- Convention: meeting rooms, technical production, speakers and content.
- Incentive: coaches, rack railway, guides, winery and lunch.
- Gala: venue, catering, stage, entertainment and party.
- Dinners and activities: dine-around, regatta and alternatives.
- Transfers and on-site team throughout the trip.
We set this out in how much a convention in Barcelona costs, and you will find more itinerary ideas in our guide to incentive trips in Barcelona. If you want a shorter format, compare with the 3-day programme; if you would rather have beaches and coves as your base, with the convention on the Costa Brava.
Tell us about your trip and within 24 business hours we will send you a proposal with hotel, programme, gala and an itemised estimate.
