What makes an incentive trip work?
An incentive is a reward, and the people travelling need to feel it from the moment they land. After more than 20 years organising programmes for sales teams, distributors and clients, we find that the incentives that work best in Barcelona share five traits:
- A theme. Culture, wine, sea or sport. A programme that mixes everything ends up without an identity and wears people out.
- One highlight per day, not three. A private visit, a dinner in a venue with history or a regatta. The rest of the day breathes around that moment.
- Genuine free time. At least half a day with nothing scheduled. Barcelona is best enjoyed on foot and participants value it as much as the activities.
- Invisible logistics. Transfers that arrive before the group, tables ready, guides waiting. If participants notice the logistics, something is wrong.
- Visible recognition. A short awards ceremony, a personal letter in the room, a well-taken group photo. The incentive has to remind people why they are there.
If you are weighing up whether an incentive, a convention or a mix of both suits you better, we explain it on our incentive travel and company conventions pages.
Before choosing an itinerary: six questions
Before proposing a programme, we ask these questions. The answers change the itinerary more than the budget:
- Who is travelling? Salespeople competing with each other, distributors from several countries or clients you want to retain.
- Where are they coming from? A European group arrives in two hours; one from North America or Asia needs a gentle first day.
- Have they been to Barcelona before? If half the group already knows the Sagrada Família, offer access or moments they have not experienced.
- How many are there? A group of 30 fits into almost any restaurant. A group of 250 needs private venues and staggered departures.
- Are they travelling with partners? It changes the tone of the dinners and the weight given to free time.
- Is there a work element? A morning meeting is easily handled at the hotel itself; it is worth knowing before confirming the room block.
The five itineraries at a glance
| Itinerary | Group profile | Best time | Length | Pace | Logistics key |
|---|---|---|---|---|---|
| Premium culture | Senior executives, VIP clients, repeat-visit groups | All year, ideally spring and autumn | 3 days | Moderate | Book monument access months ahead |
| Penedès food and wine | Sales teams, mixed groups with partners | September and October (harvest), also spring | 3 days | Relaxed | Return coach to the Penedès, a driver with no time pressure |
| Sea and sailing | Young teams, sporty groups | May to October | 3 days | Active | Plan B for wind or sea conditions, seafront hotel |
| Montserrat and Costa Brava | Intercontinental groups, longer programmes | April to June, September and October | 4 days | Moderate | Hotel change and luggage by coach |

The timings below are indicative and we adjust them to flights, group size and season.
Itinerary 1: premium culture (3 days)
Designed for senior executives and clients who expect access to the best of the city without queues or rushing. The theme is Modernisme and Catalan art.
| Day | Time | Activity |
|---|---|---|
| Day 1 | 13:00 | Arrival, private transfer and check-in at a hotel in the Eixample |
| 17:00 | Guided walk through Modernista Eixample in subgroups | |
| 20:30 | Welcome dinner at the Recinte Modernista de Sant Pau | |
| Day 2 | 09:00 | Guided visit to the Sagrada Família |
| 13:30 | Lunch at leisure or in a reserved restaurant in Gràcia | |
| 15:30 | Free afternoon | |
| 20:00 | Private visit and dinner at La Pedrera | |
| Day 3 | 10:00 | Gothic Quarter and El Born with official guides, groups of up to 20 |
| 14:00 | Market lunch | |
| 16:00 | Free afternoon | |
| 20:30 | Gala dinner at the MNAC with views over the city | |
| Day 4 | Morning | Airport transfer |
Why it works. The Sagrada Família has a new talking point: the 172.5-metre Tower of Jesus Christ was structurally completed in February 2026 and inaugurated on 10 June 2026, the centenary of Gaudí's death, making it the tallest church in the world. Even those who already know it have a reason to return.
Details we take care of. At Sant Pau, the Sala Hipòstila holds up to 230 people for a banquet and the Sala Domènech i Montaner 120. At the MNAC, the Sala Oval holds up to 1,200 people for a banquet, so for mid-sized groups we suggest the museum's smaller spaces with views. La Pedrera offers night-time experiences and early-morning visits; in 2026 we took a group from Dataforce by TransPerfect there for a guided tour led by a character, live music and a private dinner.
Book early. The Sagrada Família received 4.9 million visits in 2024. For groups, entry slots at good times close months in advance.
Itinerary 2: Penedès food and wine (3 days)
For groups who enjoy eating well and want to understand why Catalan cuisine has such a reputation. It works particularly well with partners.
| Day | Time | Activity |
|---|---|---|
| Day 1 | 14:00 | Arrival and check-in |
| 17:30 | Visit to a neighbourhood market with a chef, plus tasting | |
| 20:30 | Welcome dinner with seasonal produce | |
| Day 2 | 09:30 | Coach departure for the Penedès |
| 10:45 | Visit to a cava winery in Sant Sadurní d'Anoia | |
| 13:30 | Lunch among the vineyards | |
| 16:00 | Second winery or a walk around Vilafranca del Penedès | |
| 18:30 | Return to Barcelona and free evening | |
| Day 3 | 10:30 | Catalan cookery workshop with show cooking |
| 14:00 | Informal lunch by the sea | |
| 16:00 | Free afternoon | |
| 20:30 | Farewell dinner at the Llotja de Mar or Torre Bellesguard | |
| Day 4 | Morning | Airport transfer |
Why the Penedès. It is just over 60 kilometres from Barcelona, around an hour by coach, and accounts for more than 95% of cava production. Sant Sadurní d'Anoia alone, the capital of cava, has more than 80 wineries. That means you can choose between large houses with underground cellars and family wineries where the group meets the people who make the wine.
Details we take care of. A driver who does not have to rush off to another job mid-afternoon, water and something to eat on the coach, and an equally thoughtful alternative for anyone in the group who does not drink. For the farewell dinner, the Llotja de Mar holds up to 430 people for a banquet in the Salón de Contrataciones and 120 in the Salón Dorado; at Bellesguard the format adapts from 20 to 400 people depending on the layout.
Itinerary 3: sea and sailing (3 days)
For active teams who want to see Barcelona from the water. From May to October.
| Day | Time | Activity |
|---|---|---|
| Day 1 | 15:00 | Arrival and check-in at a seafront hotel, such as Hotel Arts or W Barcelona |
| 19:30 | Sunset welcome cocktail on a terrace | |
| 21:00 | Informal rice and paella dinner | |
| Day 2 | 10:00 | Team regatta on skippered yachts |
| 14:00 | Lunch on the beach | |
| 16:30 | Free afternoon in Barceloneta | |
| 20:30 | Dinner at the Drassanes Reials (Museu Marítim) | |
| Day 3 | 08:30 | Paddle boarding or beach yoga, optional |
| 11:00 | Boat trip along the coast or free morning | |
| 20:30 | Farewell dinner and awards | |
| Day 4 | Morning | Airport transfer |
Why it works. Barcelona hosted the 37th America's Cup in October 2024 and sailing is part of the city's story. A team regatta has competition, conversation and a final photo the group shares.
Details we take care of. The wind decides. We always have an alternative ready (a catamaran trip, a land-based activity) and decide the day before. At the Drassanes, the Grada Major holds up to 800 people for dinner, with hours from 20:00 to 22:00 according to the museum's dossier, so it suits groups who dine early. Sun protection and water for everyone, on the regatta too.
Itinerary 4: Montserrat and Costa Brava (4 days)
For groups coming from far away who want to see Catalonia beyond the city. Includes a change of hotel.
| Day | Time | Activity |
|---|---|---|
| Day 1 | 14:00 | Arrival, check-in in Barcelona and free afternoon |
| 20:30 | Welcome dinner | |
| Day 2 | 09:00 | Coach to Monistrol de Montserrat |
| 10:30 | Rack railway up to the monastery and visit | |
| 13:30 | Lunch at a local winery | |
| 18:00 | Return to Barcelona and free evening | |
| Day 3 | 10:00 | Transfer with luggage to the Costa Brava |
| 13:00 | Lunch by the sea | |
| 16:00 | Boat trip around the coves | |
| 20:30 | Dinner at the hotel or in an Empordà masia (country house) | |
| Day 4 | 10:00 | Walk around Girona or a medieval village |
| 14:00 | Lunch and airport transfer |
Why it works. Montserrat received 2.4 million visits in 2024 and is one of the most recognisable images of Catalonia. The rack railway leaves Monistrol every 20 minutes, covers 5 kilometres and climbs more than 600 metres in around 15 minutes; the station has coach parking. The Costa Brava stretches northwards: Roses, for example, is around 160 kilometres from Barcelona, so choosing the right area reduces coach time.
Details we take care of. On the day of the hotel change, the luggage travels in a separate vehicle and arrives before the group. If return flights allow, we consider departing from Girona airport. For leadership programmes in this format we have experience in the province of Girona, such as the leadership meeting in Les Gavarres, and an hour from Barcelona, such as the Reverse Tech incentive at Mas Solà.
Itinerary 5: sport (3 days)
For competitive teams and brands with sport in their DNA.
| Day | Time | Activity |
|---|---|---|
| Day 1 | 15:00 | Arrival and check-in |
| 17:30 | Bike ride along the seafront in subgroups | |
| 20:30 | Welcome dinner | |
| Day 2 | 09:00 | Golf or padel tournament |
| 14:00 | Lunch at the club | |
| 17:00 | Visit to the Montjuïc Olympic Ring | |
| Evening | Football match with hospitality, if the fixture calendar allows | |
| Day 3 | 10:00 | Regatta or sea activity |
| 14:00 | Lunch and free afternoon | |
| 20:30 | Farewell dinner and awards | |
| Day 4 | Morning | Airport transfer |
Why it works. Spotify Camp Nou reopened on 22 November 2025 with a partial capacity of almost 46,000 spectators and a planned final capacity of around 105,000. Experiencing a match in the renovated stadium is a strong draw, but it depends on a fixture calendar that is confirmed late: we never build the whole programme around a match.
Details we take care of. A confirmed alternative in case the match changes day. Golf handicaps and levels collected at registration. In 2025 we produced the Meliá Members Fest, based at the Gran Meliá Torre Melina, with a day of golf at El Prat within a five-day programme.
Logistics: what the group does not see but decides the outcome
Airport arrivals
Josep Tarradellas Barcelona-El Prat airport closed 2025 with 57.48 million passengers, a record, and around 75% of its commercial traffic is international. It has two terminals, T1 and T2, and flights for the same group can arrive at different terminals. That is why:
- We ask for the flight list at least three weeks in advance and group arrivals into time slots.
- We place staff with a sign at each terminal and a clear meeting point.
- For individual arrivals we use small vehicles rather than keeping a coach waiting for hours.
Coaches and transfers
- Allow plenty of time. At rush hour, a short journey across the city can take twice as long.
- For dinners on the hills (Montjuïc, Collserola, Bellesguard) we confirm access and turning space for large coaches. Sometimes minibuses are a better choice.
- A coordinator travels on each coach with the group list.
Groups in the historic centre
In Ciutat Vella guided tours are limited to 20 people per group, loudspeakers and megaphones are not allowed and there is a maximum number of groups per spot at places such as Plaça de Sant Jaume. The district has extended these restrictions until 2028. With 120 people we plan six guides, radio guide systems and departures every ten minutes on routes that do not overlap.
Meal times
Restaurants in Spain serve lunch from roughly 13:00 to 16:00 and dinner from 20:00 to 22:30. For groups from North America or northern Europe, dinner at 22:00 is very late. Our rule:
- Lunch at 13:30 or 14:00, with a set menu and brisk service if there is an afternoon activity.
- Dinner at 20:00 or 20:30, in a private room or a restaurant on exclusive hire.
- A snack planned on long days.
Access and bookings
The most visited monuments have group quotas. We confirm access, the guide's name and entry time before finalising the programme, never afterwards.
Planning timeline
| Before the trip | What we do |
|---|---|
| 9 to 12 months | Define the objective, dates and number of places. Check the trade show calendar. Room block |

If your date coincides with a major event, see our guide to the Barcelona trade show calendar 2027 and the one on the best time for events in Barcelona.
Incentive checklist
- Objective of the reward written in one sentence
- Dates free of major trade shows or with the hotel already secured
- One theme and one highlight per day
- At least half a day free
- Dietary requirements, allergies and reduced mobility collected at registration
- Subgroups of 20 at most for tours in Ciutat Vella
- Dinner time set and agreed with each restaurant
- Rain or wind plan B for every outdoor activity
- Transfers with time to spare and one coordinator per coach
- Tourist tax included in the budget (see the guide to the tourist tax for groups)
- A moment of recognition built into the programme
How we work on incentives
We act as a DMC in Barcelona for companies and for agencies from other countries that need a local team. We design the programme, negotiate the hotel and venues, coordinate suppliers and stay with the group throughout the trip. If the incentive includes a main dinner, we help you choose among Barcelona's unique venues by capacity and style; we go into detail in our guide to unique venues by capacity and our guide to gala dinners for large groups.
If the programme only needs a team building activity or a company party, our sister website Be Events Barcelona organises it.
Tell us who is travelling, when, and what you want them to feel when they get home. We will send you a proposal with an itinerary and a budget broken down line by line within 24 business hours via our contact page.
